Not every task needs the strongest AI model
When an organization starts working with AI tools, choosing the tool is only part of the equation. It is also necessary to understand what level of capability is actually required for each task.
A short summary, information extraction, or initial drafting can sometimes suffice with a faster and simpler model. Complex analysis, professional review, or working with large amounts of data may require a more advanced model.
There is no reason to always run the strongest model, but it is also wrong to automatically choose the simplest model. First you map out the work, understand what each task requires, and only then do you choose the tool and the appropriate capability level.
We can start with a simple mapping of the teamwork and write:
"Review the following list of tasks and employees. Propose a task allocation based on each employee's areas of responsibility, and indicate what level of AI tool capability is suitable for each task."
The model choice is a single decision within a broader organizational workflow that also encompasses costs, information security, operational processes, and control.
